How does onboarding work?

Each agreed implementation scope follows four structured steps, with clear tasks and support at each stage.

Intro meeting, demo, approach meeting, and signing; scoping against our predefined settings; onboarding training with your coach; and superuser training — leading to a clear go/no-go.

Configure

Your superuser tailors templates, emails, reports, roles, and responsibilities into your own branded system, while a Zertic specialist adapts the system to your scope.

3.
Data management
Bring your data in.

Start with your standards in Zertic GO (add local standards yourself), upload CRM, audit, and planning data via upload sheets or API, and integrate finance and scheme-holder systems through our API.

4.
Go live
with support.

Trained testers validate each standard with test scripts, you add users and manage competencies via the Online Academy, and you go live with hypercare support backing your team through the first weeks.

What can you
configure in Zertic?

Configure almost anything.

Each setting is independent but stays part of one connected system, so you adjust what you need without breaking the system of complex customization. Configuration falls into two groups:

Generic configuration

Settings that apply across tasks: planning, execution, non-conformities, certificates, invoicing, authorisations, roles and rights, and more. A Stage 1 audit needs no certification decision, for example, so you can build a bespoke Stage 1 process without affecting other workflows.

Standards-specific configuration

Everything tied to a standard: forms and checklists, audit reports and certificates, non-conformity sets, competencies, calculation fields, price lists, and portal fields. Zertic ships with an extensive library of pre-configured standards based on accreditation requirements. (Full configuration lists are in the FAQ below.)

Frequently asked questions about implementation

Yes. Zertic uses a proven four-step implementation approach covering onboarding, configuration, data migration, testing, training and go-live support. Within that approach, capabilities can be introduced in phases based on your priorities and readiness—starting with a connected, traceable core and expanding into digitisation, automation, integrations, data and intelligence over time.

Onboarding training is completely online and self-paced, so you can set everything up yourself. Every week you get real-time coaching sessions to help you tailor Zertic — implementing your quote template, adjusting emails, and adapting the workflow to your processes.

Almost everything. Generic module settings (acquisition, planning, execution, non-conformities, certificates, invoicing, authorisations, archiving, roles and rights); standards-specific settings (pre-/post-audit forms, checklists, form sets, certificates and audit reports, end-of-audit letters, standards and sub-standards, categories such as EA and NACE codes, non-conformity sets, competencies, hour- and cost types, calculation fields and formulas, price lists, and portal fields). Each setting is independent but stays part of one connected system.

Yes. Beyond the global standards in the Zertic standards library, you can add local or custom standards yourself by uploading them. A local standard with a full checklist takes about 32–40 hours per standard; without a full checklist, about 4–5 hours. This gives you full control over your scope without waiting on external development.

Yes. If your standards are already in the Zertic standards library, you only add users, pricing, and clients to start with a pre-configured version (adapted to your accreditation rules). Every assignment produces the correct invoices based on standard calculations. From day one, we set up your system with your logo and best-practice templates for quotes, invoices, and email communication.

Zertic provides tester training and step-by-step test scripts, so you validate each standard, configuration and integration before go-live. Zertic starts from pre-configured workflows and standards, reducing the amount you need to build from scratch while still giving your team a controlled validation step before launch.

Yes. For most organisations, our migration tool lets you upload clients, audits, planning and certificate data via Excel. For larger organisations, we use API migration with a well-documented API suite.

Yes — you can extend daily by adding a new user yourself, invoiced in line with your contract. You start with a bundle of users: the bigger the bundle, the lower the price per user. You can lower your bundle once a year and increase it any time to benefit from the bundle discount.
